A progressive web app that digitises ISO 9001 certification workflows for a certification provider

The goal of this project was to build a dedicated product to help an ISO 9001 certification provider manage all its certification workflows in a structured, digital way.
Instead of coordinating audits, nonconformities, corrective actions and documents with emails and spreadsheets, the provider needed a single application where:

  • each certification project could be followed step by step,
  • all actions, deadlines and responsibilities were clearly tracked,
  • evidence and documents were stored and easy to find for audits and reviews.

Context & challenge

The certification provider supported companies along the full ISO 9001 journey:

  • initial gap analysis,
  • definition and implementation of processes,
  • audits and nonconformities,
  • corrective and preventive actions,
  • periodic reviews and renewals.

Before this product, much of this work was handled through:

  • long email exchanges,
  • documents and spreadsheets scattered in different places,
  • manual follow-ups to understand what was open, closed or late.

The main challenges were:

  • urning formal ISO 9001 procedures into practical digital workflows,
  • giving consultants and client quality managers a clear, shared picture of each certification project,
  • making it easier to track actions, deadlines and documentation over time,
  • building a scalable, maintainable software structure that the provider could evolve,
  • and improving the overall reliability of the system through automated tests.

Role & responsibilities

On this project I combined technical ownership with product and project responsibilities:

  • full end-to-end development of the product, from initial design to implementation and rollout
  • analysing how the certification provider and its client companies actually managed ISO 9001 projects in practice
  • modelling the core workflows: audits, findings, nonconformities, corrective actions, approvals and follow-up
  • designing the information architecture and user flows for consultants and client-side quality managers
  • designing and implementing a scalable software architecture suitable for future evolution of the product
  • acting as project manager in practice: defining and maintaining the backlog and roadmap, planning iterations, coordinating with stakeholders and managing priorities
  • providing quantitative evaluations (effort, complexity, impact) to support realistic planning and scoping
  • developing the backend in PHP and the frontend as a Vue.js single-page application using Vuetify for the UI components
  • introducing unit tests and integration tests for the code I developed, bringing automated testing practices into the team
  • handling QA, validation and acceptance tests with the certification provider and selected client companies

Approach

The product was built through structured workflow analysis, architectural design and iterative delivery:

  • Workflow modelling based on real practice
    Mapped how ISO 9001 projects were actually run by the provider: from initial assessment to audit, findings, corrective actions and closure, identifying key steps, roles and information.
  • Workflow-oriented UX
    Designed the app so each certification project is represented as a workflow with clear states, required information, actions, deadlines and responsible people. Consultants and client-side quality managers can see where they are and what’s next.
  • PWA & SPA implementation
    Implemented the solution as a progressive web app with a PHP backend and a Vue.js single-page frontend using Vuetify, delivering an app-like experience in the browser without requiring local installations.
  • Scalable software structure
    Introduced a modular, scalable structure that separates workflows, project data, documents, users and reporting. This makes it easier to extend the product with new types of workflows or additional features in the future.
  • Automated tests + QA & acceptance
    Introduced unit tests and integration tests for core parts of the application, and combined them with QA, validation and acceptance tests performed together with the provider and pilot customers.

Results & impact

The ISO 9001 certification workflow PWA helped the certification provider to:

  • move from fragmented tools to a single product for managing ISO 9001 projects,
  • make audits, nonconformities and corrective actions more traceable and controllable,
  • reduce manual coordination via emails and spreadsheets,
  • give both consultants and clients a shared view of status, responsibilities and deadlines,
  • prepare internal and external audits with clearer, better structured information.

For my own practice, this project reinforced my ability to:

  • design and deliver workflow products around formal standards like ISO 9001,
  • take ownership of both technical architecture and project/product management in the same initiative,
  • introduce automated testing practices (unit and integration tests) in environments that previously relied mainly on manual QA.

Tecnologies & methods

  • Technologies: PHP backend, Vue.js single-page frontend with Vuetify, PWA patterns, relational database, reporting and dashboard components.
  • Methods: workflow and process analysis, product backlog and roadmap management, quantitative effort estimation, iterative releases, automated unit and integration testing, QA, validation and acceptance testing with real users, KPI and reporting design.

Status & next steps

  • Current status: The PWA was delivered and used during my time at CRSL by the ISO 9001 certification provider to manage its certification projects with client companies.
